Convert subscription days cancellations to credits instead of discounts

Situation and request.
The customer is working with the subscription module within our system. Currently, cancelled days of subscription customers are charged as a reduction on the subscription price once we approve the cancellation. The client wants to change this process: instead of a reduction on the invoice, they want customers to receive credits on their account upon cancellation.

Why this change?
The current system causes subscription customers to gain financial advantage if they cancel frequently, compared to strip card customers. This is disadvantageous to the customer because they do reserve a fixed spot for the subscriber. To better ensure continuity of cash flow and occupancy, customers want cancelled days to no longer affect the subscription bill, but to have these days stored in the form of credits. Subscribers then continue to pay as usual, and can use the saved credits at a later time.

Additional conditions

  • Subscription customers may save up to 6 days per year in the form of credits.

  • Subscription customers will always be given priority over strippenkaart customers; strippenkaart customers will be given a spot only after approval.

  • An alternative option that has been discussed: cancelled days remain visible in the planning, but with a comment such as "converted to credit", so that the invoices and statements remain accurate.
